The best way to complete this calculator is to actively track your time through each of the 10 phases and individual tasks while working on an actual client project.
If you are not working on a project currently, the best way to do this is to give your best guess and then track your time with the next project. This will still give you a much better starting point than what you have now.
At the bottom of the document are 5 tabs. Make sure to start with tab #1 and work your way to the last tab. Numbers from one sheet will automatically import to other tabs where needed.
Several of the example numbers also have formulas behind them. This makes the numbers auto-calculate for you and move from one sheet to another where needed. So if you don't need to calculate a certain line item, simply enter 0 rather than deleting the existing number so all formulas stay in place. Plus, as your business grows, changes, and your pricing increases, you'll be able to come back and adjust your numbers again.

Everyone's business is a little different, serves different clients and operates a little differently. With that being said, you can certainly customize the calculator to remove tasks you don't use and add in tasks that you do use.
